Privacy Policy

We collect the information you type into our forms: your name, email address, phone number (required on some inquiry forms, optional on others), business type, ZIP code, purchase timeline, whether you're interested in financing, and any notes you add. Review submissions also include your reviewer name, business name (optional), rating, and written feedback.

We do not collect payment details, medical records, or patient information. Please never submit patient data through our forms.

Pricing requests and recommendation requests are used to connect you with relevant equipment suppliers, distributors, or financing partners, and to follow up on your request. Review submissions are moderated and, once approved, published on the relevant device profile. Your displayed name follows the attribution choice on your review; submitted business details may also appear with the review.

We do not sell your information for unrelated advertising purposes.

We share inquiry details with the companies you authorize by name for that request. If no recipient is named yet, we ask your permission before sharing with one. Service providers also process information to host the site and send our emails.

Verified suppliers can see aggregate activity for devices they represent, such as views, comparisons and pricing clicks. These traffic reports do not include visitor names, contact details, session identifiers or individual browsing histories.

Submissions are stored in our hosted database behind access controls. Administrators can manage submissions; a supplier can access buyer contact details only when the required permission, device coverage and payment checks pass. We keep lead records for as long as needed to service your inquiry and meet our record-keeping obligations, then delete them.

With each signed ownership attestation on a review, we also store the typed legal name, a timestamp, the browser user-agent string, and a one-way hashed (SHA-256, salted) form of the submitting IP address — never the raw IP — as an audit record of that certification.

Our site analytics

We record activity to understand which information is useful and where forms need improvement:

• Pages viewed, device comparisons, pricing clicks, and form steps or completion events.
• Site-search terms and whether a search returned results. Please do not put personal or patient information into search.
• Referring pages, campaign tags, timestamps and browser user-agent information.
• A random browser-session identifier. This is not a verified identity or a count of identified people.

Administrators use these records for site reporting. Supplier traffic reports contain aggregate counts for approved devices, not individual event records. Known automation, staff activity and missing browser information are separated from browser totals; undetected automation can still be counted. Our first-party traffic records do not contain visitor location or raw IP addresses.

Google Analytics

We also use Google Analytics 4 (measurement ID G-WKGT8VZ0B5) for usage reporting. It can receive page and activity events, referral and campaign information, and browser and device information. Google can derive approximate location from an IP address; Google states that GA4 discards the IP before logging the data. Read Google's regional data collection explanation.

Our analytics events do not intentionally include contact details entered into our forms. We do not run Google Ads or remarketing tags, build advertising profiles, or sell Google Analytics data. Google may process measurement data in the United States.

Your controls

Our site checks Do Not Track and Global Privacy Control signals before loading or sending its analytics. We also exclude account, supplier, admin and private review-link pages from our page and activity tracking. You can use Google's Analytics opt-out browser add-on or a browser blocker. Blocking cookies alone may not stop every measurement request. The research pages remain usable without analytics.

• Google Analytics cookies: _ga distinguishes browsers and _ga_WKGT8VZ0B5 stores session state. Google's documented default is two years, but browser limits and cookie settings can shorten that period. See Google's GA4 cookie documentation.
• Session storage: tai_sid holds a random analytics session identifier; tai_attribution remembers campaign and referring-page information; tai_internal marks a staff session so it can be excluded from reporting. These are browser session-storage entries, not persistent identity profiles.
• Site features: cookies and browser storage can keep you signed in, remember newsletter preferences and save device selections. We do not use third-party advertising cookies.

Blocking storage leaves public research pages available, but can affect sign-in and saved preferences.

Public review license. What you submit for publication — your written review, ratings, photos you mark as publishable and the approved transcript of any voice recording (the audio itself is never published) — you license to The Aesthetic Index on a perpetual, worldwide, royalty-free, non-exclusive basis to publish, edit for length and clarity, quote and translate, with the reviewer name and business name you chose. You keep ownership. You can ask us to unpublish it at any time.

Private verification evidence. Invoices, purchase orders, service agreements, serial-number photos and anything else you send to prove ownership are NOT licensed for publication. They are read by the founder to stamp a verification tier, never published, never shared with a manufacturer, distributor or lender, and deleted 30 days after the verification decision, or earlier on request.

Optional research-data permission. The figures you report — price paid, consumable cost, treatment volume, service cost — may be used as anonymous, aggregated data points in reports and data products, with no name, business name, city or serial number attached. This is separate from publishing your review: email hello@aestheticindex.co and we will exclude your figures from aggregates while still publishing the review.

Deletion: email hello@aestheticindex.co and we will delete your review, your evidence files and your voice recording within 30 days, keeping only what the law requires us to keep.

If you send an invoice, purchase order, service agreement or photo to verify ownership, we use it only to confirm you own the device. We store it with access restricted to the founder, we do not publish it, and we redact or delete price and patient details on request. Please black out anything you do not want us to see before sending it.

One retention rule applies: verification proof is deleted 30 days after the verification decision, or earlier on request. We keep only the record that a decision was made — the evidence type, the date and the moderator’s initials.

Voice recording is an optional feature and may be unavailable. If the review form offers recording and you choose it, we store the audio, generate a written transcript, and publish only the transcript text you approve. The audio itself is not published. You consent to recording and transcription when you start recording. You can ask us to delete an audio file you previously supplied at any time. Do not record patient names or clinical details.

If you tick the text-message box when you submit a review and give us a mobile number, we may text you about your review: the link to your published review (which you can share) and an invitation to review any other device you own or use — currently one message when your review publishes. We text no one who did not tick the box; saying no never affects publication or a gift card; reply STOP to any message to stop all texts and HELP for support; message and data rates may apply; and we never sell, rent or share your number with manufacturers, lenders or anyone else.

$25 per eligible device after publication, email confirmation, accepted ownership proof and the seven-question business questionnaire. ‘Not sure’ and ‘Prefer not to say’ count as answers. Up to three paid devices per reviewer, tracked by email ($75 total under this offer). Positive and negative reviews qualify equally. Devices distributed by our founder’s company are excluded. Existing reviews keep their original offer.

Reward eligibility does not mean a gift card has been sent. To deliver one, we use your email address and, where the card provider requires it, your name. Every incentivized review is labeled on the page. We do not share your details with the device's manufacturer as part of sending a reward.

A pricing, recommendation or financing inquiry can include your name, business name, email, phone, practice type, state or ZIP, timeline, budget, new or used preference, financing details and notes. We share inquiry details only with the companies you authorize for that request. If no company is named, we ask for permission before sharing. Expressing interest in financing does not authorize sharing with an unnamed lender.

Suppliers may pay us for access to eligible inquiries. Payment does not replace your permission: supplier contact access also requires verified device and territory coverage. Before contact access, an eligible supplier may see a limited inquiry preview, such as the device and state, without your name, business name, email or phone number. Anonymous page views do not become identified buyer inquiries.

When DNA Distribution is a recipient for a founder-distributed device, the form names it before you authorize sharing. Recipients become responsible for the information they receive under their own privacy terms. We do not share inquiry details for unrelated advertising. You can contact us to withdraw permission for future sharing; withdrawal does not recall information a recipient already received.

You can ask us to access, correct, or delete the information you submitted, or to withdraw a published review, by contacting us through the request form on any device page or by emailing hello@aestheticindex.co. We will honour verified requests within a reasonable time.

If you are a California resident, the CCPA as amended gives you the right to know what personal information we collect and who we disclose it to, to request a copy, to request deletion or correction, to opt out of sale or sharing where applicable, and not to be discriminated against for exercising those rights. The categories we collect are identifiers, commercial information about your purchase intentions, and internet activity, as described above. We disclose identifiers and commercial information to suppliers and lenders for the business purpose of responding to your request. We do not share personal information for cross-context behavioral advertising.
